Project Manager, Information Technology (Contract)

PRIMARY RESPONSIBILITIES

The Project Manager, Information Technology will plan, organize, monitor, and implement information technology projects by organizing needed resources, and managing the projects through from inception to completion.

The candidate will be responsible to implement various projects, ensuring that all projects are delivered on time, within scope and within budget. They will be required to quickly learn the TRREB environment, including its suite of technology products, teams, and business partners.

In this role, the incumbent will coordinate the work of IT professionals and other staff, to implement a vast array of technology projects, driven mainly by new client onboardings, software implementations and product releases.

This very dynamic role will require that the candidate handle various duties, including business systems analysis, product management and quality assurance.

Outstanding critical judgement, strong interpersonal and communications skills, the ability to manage multiple initiatives simultaneously and a fervent desire to learn fast and grow professionally will help you succeed in this role.

PRINCIPAL DUTIES

  1. Handle new client onboarding, system integrations and IT software projects as required.
  2. Act as the main point of contact for clients, serving as their strategic partner to provide a seamless and positive onboarding experience.
  3. In collaboration with the Senior Project Manager, define the project scope, develop the project plan, and identify and coordinate the resources needed to successfully implement the project.
  4. Organize and coordinate project members, assigning individual responsibilities and timelines.
  5. Execute the project plan and track progress through all phases, identifying risks and issues early, and making necessary adjustments to ensure the successful completion of all projects on time and on budget.
  6. Conduct regular status update meetings with the project team and stakeholders to address issues and ensure the project is executing smoothly according to plan.
  7. Review the quality of work or solution delivered to ensure it meets the expected results for internal stakeholders or client.
  8. In conjunction with the Purchasing Department staff, assist with preparing and summarizing Requests for Proposal (RFP) documents as part of the RFP process, as required. Remain objective when analyzing proposals and providing recommendation of potential vendor suppliers.
  9. Document technical requirements, solutions, processes or manuals, as required.
  10. Listen attentively and understand client issues to either solve the issue immediately, propose solutions, or escalate with the appropriate team that is responsible.
  11. Maintain and enhance professional and technical knowledge by keeping current on technology trends, tools and techniques.
  12. Assist with TRREB special events, including on-site assistance at the event as required.
  13. Perform other duties and special projects that may be assigned from time to time.

REQUIREMENTS

Education:

  • Bachelor’s degree in computer science, business information systems or equivalent combination of education, training, and experience.
  • PMP (project management professional) certification is an asset as well as knowledge of the real estate industry.

Experience:

  • Minimum 3 years managing client onboarding or integration projects
  • Minimum 5 years hands-on experience in managing the implementation of a diverse set of IT projects.
  • Experience managing technology projects that consist of the following would be an asset:
    • a) Client onboarding to systems and services
    • b) System to system integrations utilizing APIs or SFTP file data feeds
    • c) Software product development and launches, including iterative version releases
    • d) Business software implementations
    • e) IT Infrastructure (eg. phone, networks, servers)
    • f) Database or data reporting implementations
    • g) QA and UAT software testing
  • Experience working as a project manager or technical analyst on system integration projects that utilize APIs or SFTP files will be an asset.
  • Strong technical aptitude and willingness to learn at a high level technical constructs such as APIs, data feeds, and data formats (eg. csv, excel, etc).
  • Strong planning, organization, critical thinking, problem-solving, and prioritization skills.
  • Superb written and verbal communication skills, including the ability to take an active role in meetings and present on various topics.
  • Superb interpersonal and collaborative skills with the ability to effectively build and manage relationships with key resources, business partners and stakeholders.
  • Ability to write and document technical requirements, solutions, or manuals.
  • Ability to work in a fast-paced and deadline-oriented environment, with a proven track record of successfully managing multiple projects concurrently to completion through effective time management resourcefulness, and critical problem solving.
  • Self-motivated with critical attention to detail, deadlines, and reporting.

SPECIAL WORKING CONDITIONS

  • Occasional overtime, including after hours or weekend work, may be required for special projects or to meet stringent deadlines.
  • This position will be exposed to highly confidential material and/or information. Every effort must be made to ensure that sensitive information and materials critical in nature are properly stored and secured.
  • This position involves working for both TRREB & PROPTX Innovation, TRREB’s wholly-owned subsidiary.
  • A considerable amount of time will be spent working with computer systems.

Arbitration and Professional Standards Coordinator

PRIMARY RESPONSIBILITIES

The Arbitration and Professional Standards Coordinator is responsible for administering hearings and complaints processes to address and resolve issues and infractions, utilizing the appropriate Toronto Regional Real Estate Board (TRREB) approved process.

You will be required to organize volunteer panels to hear and provide recommendations on TRREB Member grievances and misconduct, investigate alleged violations, attend hearings and document decisions of the panel, with the goal of achieving suitable and quality results.

In this role, a thorough knowledge of the Real Estate Council of Ontario (RECO) rules, the Canadian Real Estate Association (CREA) guidelines surrounding trademarks, the Ontario Real Estate Association (OREA) policies, TRREB’s By-Law, MLS® Rules and Policies and all other applicable legislation and policies governing REALTORS® is required.

PRINCIPAL DUTIES

  1. Maintain and enforce compliance with TRREB’s By-Law, MLS® Rules and Policies, and CREA Trademark Rules and Standards of Business Practice as it relates to Arbitration matters and/or Appeals, etc., including determining jurisdiction for the complaint.
  2. Receive, investigate and arrange for the resolution of TRREB Member complaints and infractions, utilizing a TRREB approved remedial process that maintains TRREB’s high standards of conduct and cooperation amongst REALTORS®.
  3. Handle the administration of arbitration and professional standards hearings, including determining jurisdiction, conducting research, preparing summary reports of findings, collecting relevant supporting documentation, supporting the panel in complaint reviews and transcribing panel decisions.
  4. Liaise with panel members to arrange hearings, mediations and complaint reviews, including evaluating panel members on an on-going basis.
  5. Confer with and support Panel and Roster Chairs on issues and matters that arise, providing procedural advice and guidance as required.
  6. Act as a Case Presenter for Professional Standards Hearings as required, ensuring impartiality and avoiding any conflict of interest.
  7. As Case Presenter, review files in advance and prepare to orally present evidence of alleged Member misconduct or infractions at hearings.
  8. Help maintain an up-to-date central depository of all compliance activities and relevant arbitration and professional standards data, including the nature of the complaint received, investigation outcomes and panel decisions.
  9. Respond to Member enquires on matters pertaining to Arbitration Guidelines and Professional Standards procedures, TRREB’s By-Law, MLS® Rules and Policies, RECO Code of Ethics, CREA Trademark Rules and Standards of Business Practice and OREA By-Law as it relates to Arbitration matters and/or Appeals, etc.
  10. Handle invoicing and payment processes as applicable.
  11. Prepare all worksheets, memos, reports, minutes and correspondence as required.
  12. Ensure all appropriate documents and any outstanding correspondence are completed/received within the allotted time frames.
  13. Utilize effective strategies to ensure a consistent level of excellent customer service.
  14. Help maintain an up to date operating and training manual for the department when processes and practices change.
  15. Assist with TRREB special events, including on-site assistance at the event as required.
  16. Perform other duties as assigned from time to time.

REQUIREMENTS

Education:

  • Paralegal or Law Clerk designation or related discipline.
  • Alternative Dispute Resolution Certificate is an asset.

Experience:

  • 3 to 5 years of related experience, preferably in a legal environment.
  • Experience with arbitrations, mediations, professional disciplinary hearings, administrative tribunals and applying legal concepts and analyses as required.
  • Advanced knowledge of conducting legal and administrative proceedings and processes required.
  • Highly developed verbal and written communication skills.
  • Ability to solve problems with practical solutions.
  • Excellent group facilitation and interpersonal skills.
  • Demonstrated proficiency in conducting presentations and public speaking in a variety of settings.
  • Positive and service-oriented attitude with an emphasis on providing excellent customer service.
  • Strong organizational and time management skills, including the ability to effectively manage multiple tasks and competing priorities.
  • Strong analytical skills, sound judgement and effective problem solving and decision-making abilities.
  • Proficiency in Microsoft Office Suite.
